Summary: This Policy explains how MonographHub (“we”, “our”, “us”) collects, uses, shares, and protects information when you visit our website or use our services. By using MonographHub, you agree to this Policy.

1) Who We Are

MonographHub provides licensed access orchestration and AI-assisted comparison tools for pharmacopeial monographs. For questions about privacy, contact privacy@monographhub.com.

2) Information We Collect

A. Information you provide

  • Contact & Account Data: full name, email, phone, organization, job role, country/region, and any messages you submit (e.g., via the Contact Sales form).
  • Subscription & Licensing Data: license tier, number of seats, assigned users, permitted pharmacopeias, billing contact, and organization details.
  • Support Content: inquiries, attachments, screenshots, and feedback you send us.

B. Information collected automatically

  • Usage & Device Data: pages viewed, referring URLs, clickstreams, timestamps, language, browser, OS, screen size, and approximate location derived from IP.
  • Log Data: server logs for security, diagnostics, and abuse prevention (e.g., IP, user agent, request/response metadata).
  • Cookies & Similar Tech: essential cookies for sessions and reCAPTCHA; optional analytics cookies where applicable.

C. Information from third parties

  • Enterprise Admins & Partners: if your organization provisions access, we may receive your name and email from your administrator or SSO provider.
  • Verification & Payment Providers: limited identifiers for fraud prevention and invoicing.

3) How We Use Information

  • Provide, operate, and secure the Service (authentication, access control, fraud and abuse prevention).
  • Respond to inquiries, demos, and support requests.
  • Set up and administer licenses, users, and organization settings.
  • Improve features, quality, and performance (analytics, debugging, and quality assurance).
  • Comply with legal/regulatory obligations and enforce our Terms.
  • Communicate service notices, policy updates, and relevant product information.

4) Legal Bases (where applicable)

We process personal data under one or more of the following lawful bases: performance of a contract, legitimate interests (e.g., service security and improvement), consent (where required), and legal obligations.

5) Sharing & Disclosures

  • Service Providers: hosting, email/SMS delivery, security (including Google reCAPTCHA), analytics, and customer support vendors, each under contract and limited to necessary processing.
  • Compliance & Safety: when required by law, subpoena, or to protect rights, property, users, or the public.
  • Business Transfers: in connection with a merger, acquisition, or asset sale, subject to continued protections.
  • Enterprise Visibility: administrators at your organization may access certain usage/account data for license management.

6) Cookies & Tracking

We use essential cookies for session management, security, and to operate core features. We also use Google reCAPTCHA v2 to block abuse; reCAPTCHA may collect device and interaction data per Google’s policies. You can control non-essential cookies in your browser settings.

7) Analytics

We may use privacy-conscious analytics to understand aggregated usage and improve performance. Where legally required, we will obtain consent before setting analytics cookies.

8) Data Retention

We retain personal data only as long as necessary for the purposes described above, including providing the Service, meeting legal obligations, resolving disputes, enforcing agreements, and maintaining security and audit logs.

9) Security

We implement technical and organizational safeguards (encryption in transit, access controls, least-privilege, audit logging). No method is 100% secure; please protect credentials and report suspected issues.

10) International Data Transfers

Your information may be processed in countries outside your own. Where required, we use appropriate safeguards such as contractual clauses to protect data during cross-border transfers.

11) Your Privacy Choices & Rights

  • Access & Portability: request a copy of your personal data we hold.
  • Correction: request updates to inaccurate or incomplete data.
  • Deletion: request deletion, subject to legal/contractual limits.
  • Restriction & Objection: where applicable, restrict or object to certain processing.
  • Consent Withdrawal: where we rely on consent, you may withdraw it at any time.

12) Organization & Administrator Controls

If your access is provided by an organization (e.g., university, ministry, company), its administrators may manage your account, roles, and access, and may have visibility into usage for license compliance.

13) Third-Party Pharmacopeia Content

Full text access to pharmacopeias (USP–NF, BP, Ph. Eur., JP, IP, ChP, WHO, etc.) requires valid licenses from the relevant rights holders or authorized distributors. Your use of such content is governed by those parties’ terms and policies. We are not responsible for the availability or accuracy of third-party materials.

14) Automated Processing & AI

Some features use automated processing and AI-assisted comparison/summarization. We prioritize citation and traceability. Outputs are for informational purposes and do not replace regulatory review. We do not use your enterprise inputs to train public models; processing is limited to providing and improving the Service.

15) Do Not Track

Our website does not currently respond to browser “Do Not Track” signals.

16) Changes to This Policy

We may update this Policy from time to time. We will update the “Effective date” above and, where appropriate, provide additional notice. Continued use of the Service after changes indicates acceptance.
